The Challenge
Scania Great Britain’s workforce handles a broad range of communication, analytical, and administrative tasks daily, from drafting internal reports and customer correspondence to summarising complex documents and researching market topics. These tasks are individually manageable, but in aggregate they consume significant capacity across the organisation.
The business needed a way to give every employee access to AI-powered productivity support, securely, within the existing digital workspace, and without requiring specialist AI knowledge to use effectively.
The Approach
Working in partnership with Reply, we designed and deployed SGB Chat, an AI-powered assistant embedded directly into Scania’s digital workspace. Built on OpenAI’s language models, SGB Chat provides employees with instant access to a range of productivity capabilities through a simple conversational interface.
The core capabilities:
- Summarisation: Upload documents or paste text to receive concise, accurate summaries, reducing the time spent processing lengthy reports, policy documents, and communications.
- Content generation: Draft emails, reports, proposals, and internal communications with AI assistance, maintaining quality and consistency while cutting drafting time.
- Ideation and research: Use web search integration to explore topics, generate ideas, and gather supporting material for projects and presentations.
- Prompt templates: Pre-built templates for common tasks ensure employees can access the most useful capabilities immediately, without needing to craft effective prompts from scratch.
- Secure document Q&A: Upload confidential documents and ask questions about their content, with data handled securely within the enterprise environment.
How It Works in Practice
SGB Chat sits within the tools employees already use daily. A sales manager can upload a customer brief and ask for a summary of key requirements. A service coordinator can draft a follow-up email in seconds. A finance analyst can ask questions about a policy document without reading 40 pages.
The interface is conversational and intuitive. Prompt templates lower the barrier to adoption, and the secure document upload means employees can work with sensitive internal materials confidently.
