How does the human approval process actually work?

At the end of every stage, Brief, Strategy, Copy, Compliance, the system pauses and presents its output for human review. Nothing saves to Brand Memory and nothing moves forward until a human approves it.

Every approval decision is timestamped, creating a full audit ledger of every campaign decision made.

We already use ChatGPT. Why do we need The Orchestrator?

ChatGPT generates outputs. The Orchestrator governs a workflow.

The distinction isn’t about memory, modern AI systems can absolutely be given memory, knowledge bases, and persistent context. The real difference is system design. A standalone tool, however capable, requires someone to decide what to ask it, remember what was decided last time, apply the right brand guidelines, check it against compliance rules, and ensure the output actually reflects your organisation’s accumulated knowledge. That coordination burden falls on your team.

The Orchestrator removes that burden by embedding it in the system itself. Every approved brief, strategic direction, and compliance ruling is stored, structured, and automatically inherited by future campaigns. Human approval gates are built into the process, not bolted on afterwards. Governance isn’t a checklist your team maintains; it’s how the platform operates by design.

Can we run individual stages rather than the full pipeline?

Yes. You can select a single agent or any combination of stages, you’re not required to activate the full pipeline. The platform is designed around your workflow, not the other way around.

What does 'governed AI' mean in practice?

Humans approve every stage before the pipeline advances. Nothing saves until compliance is complete.

Every agent is designed to flag knowledge gaps rather than fill them with invented content, gaps are surfaced for human review, never papered over.

How is our data stored?

All Brand Memory entries, audit records, and approval decisions are stored server-side with long-term retention. The audit ledger is exportable, built specifically for regulated industries that require it.

What security standards does the platform meet?

Security is aligned to enterprise best practice and scoped to each client organisation. Data in transit is encrypted in line with current industry standards.

Does the platform have to sit in Graymatter’s infrastructure, or can it be deployed in ours?

Either. The platform can run within your own infrastructure or Graymatter’s managed environment, agreed during onboarding. If you have an in-house creative team, it operates as a governed workflow layer alongside them. If production is agency-outsourced, it sits upstream providing governed briefs and compliance-cleared copy into that relationship. Brand Memory and all approved outputs remain your organisation’s asset in either model.

Does the platform process personal data?

No. The platform processes brand and marketing content, copy, strategy, campaign briefs. It does not handle, store, or transmit personal data of any kind. This is a deliberate architectural decision, not an incidental outcome.

Is our content used to train AI models?

No. Enterprise AI APIs under commercial terms that explicitly prohibit training use. Inputs and outputs are retained briefly for abuse prevention only, then automatically deleted. A zero-retention agreement is available.

How does the platform handle compliance for regulated content?

The fourth stage of every pipeline run is a dedicated Compliance Agent configured with your specific regulatory framework. Every piece of content receives a PASS, WARNING, or FAIL verdict before it can be exported or saved. A FAIL blocks the content entirely.

Is there an audit trail?

Yes. Every significant action is written to a persistent audit ledger: pipeline starts and ends, human approvals and rejections, Knowledge Bank saves, compliance verdicts, and translation events. The ledger records what happened rather than what was said, designed to meet a six-year records retention requirement.

Can content leak before it’s been reviewed?

No. Unapproved outputs exist only in the user’s browser session and are never written to any server until a human explicitly approves them. Export and Knowledge Bank save are both locked until the compliance stage is complete. Enforced at the architecture level, not by policy.
